Joining our team as a Medical Care Coordinator means you provide administrative support to our team of Nurse Practitioners. We need you to have strong customer service skills and demonstrate CARE in every single interaction. You’ll be the support system for our medical team by engaging with our clients about initial inquiries, connecting and booking appointments with our NPs, and ensuring administrative tasks such as referrals, refills and invoices are taken care of.

We are seeking an experienced Medical Care Coordinator to work within Wello’s exciting, entrepreneurial, community-based program. Wello is dedicated to helping clients get well and keep well, through the use of telemedicine. Wello is backed by 39 years of medical expertise from INLIV, a health and wellness service designed to inspire amazing lives through medical, fitness, medical aesthetics, wellness, and health.

Role Responsibilities

  • Set up new client files
  • Answer client calls and inquiries
  • Review files
  • Secure appointments for further diagnostic testing or specialist consultations
  • Wolf  EMR messaging and follow ups
  • Assist with Nurse Practitioner supply orders
  • Process prescription refill requests
  • Scan and link all paper documents into patient’s file daily
  • Ensure consult replies have been reviewed
  • Create invoices for services and submit billings
  • Book consults, lab and diagnostic appointments as well as track referrals
  • Confirm Nurse Practitioner appointments
  • Obtain feedback through client touch point/survey after Nurse Practitioner visit
  • Administrative support to the Program Coordinator
  • Work remotely and have access to a locked, home office

Qualifications and Experience Needed

  • MOA Certification or minimum 3 years administrative experience working in a Medical Clinic office setting
  • Superior administration and customer service skills required with the ability to work within a collaborative environment
  • Experience with AHC Billing an asset
  • Proficient in using MS Office programs
  • Knowledge and Experience using QuickBooks is an asset
  • WOLF or EMR experience an asset
  • Excellent communication and interpersonal skills
  • Attention to detail, ability to prioritize
  • Self-motivated and a team player
  • Must be flexible, service oriented and a problem solver
